The gap

Everything is tracked. The hand-off is not.

Inventories confirm that something exists and who holds it. Nothing records what a specific item was, what condition it was in, and what it was worth at the moment it changed hands.

Property systems record

That an item exists, and who is assigned to it.

An asset tag, a serial where there is one, a custodian name. Enough to say the equipment is on the books.

They do not record

What it was, what shape it was in, what it was worth.

Nothing independent is made at packing, so a dispute at delivery is memory against memory.

AIMIS adds

Comps weighed against recorded condition give a fair market value with its basis visible.

Every item, description, value and photograph as one dated record, organized by room.

The record is made and locked.

The custodian photographs items as they are packed. Once an item is recorded its line cannot be changed. The record is dated and locked before anything ships.
